Privacy Policy

This policy covers execpods.com. It describes what we collect, where it goes, and how to have it removed. It is written to be specific rather than generic, so if something is not listed here, we are not doing it.
The short version
We collect information in four places. Three are forms you choose to fill in: the contact form, the white-paper signup, and the request to talk through your Coverage Check result. The fourth is the Coverage Check itself, which records your answers anonymously when you finish it, with nothing that identifies you. We do not use cookies, we do not run advertising or tracking scripts, and we do not sell or share your information with anyone for their own marketing.
What we collect when you contact us
The contact form asks for your name, company, email address, role, and your message. All five are required, because a message we cannot reply to is not useful to either of us. The form also contains a hidden field that real people never see; if it is filled in we discard the submission as automated, and nothing is stored or sent.
Submissions are delivered to a private ExecPods channel in Slack and recorded in our submissions database, and where you email us directly they reach our Google Workspace mailbox. We use what you send to reply and to have a conversation about your business. We do not add you to a marketing list because you contacted us.
What we collect when you join the white-paper list
The signup asks for your email address, and optionally a first name. That is the whole record, and it is kept in our submissions database. We use it to send you the white paper when it is published and occasional notes from ExecPods. Every email we send includes a way to unsubscribe, and you can also ask us directly at any time.
What we collect when you request a conversation
At the end of the Coverage Check you can ask to talk the result through. That form asks for your name, your email address, optionally your company, and two times that would work for you, together with your time zone so we read those times correctly. It is joined to the anonymous record of your Coverage Check, described below, because the request is to discuss that result. We use all of it to prepare and to agree a time. Nothing books itself and nothing reaches a calendar automatically; a person reads the request and answers.
The Executive Coverage Check
The Executive Coverage Check scores your answers in your browser and shows you the complete result without asking who you are.
- When you finish the check, we record the result anonymously: your eight answers as numbers, and the score and band they produce. That record holds no name, no email address, no IP address, and nothing else that identifies you. We look at these records together, to learn which gaps are most common and to improve the check.
- Nothing is saved on your device. The check uses no cookies and no storage, which is why closing or refreshing the page starts it again. While the page is open it holds a random reference number, so the anonymous record can be found again if you ask us to talk it through. It is discarded when you leave.
- If you ask to talk your result through, that anonymous record is joined to the name, email address and times you give us, so we can prepare for the conversation.
- The white-paper signup is never joined to your result. Joining a content list is not consent to have an assessment attached to your contact record, and that form is built so it could not do so.
Ask us to delete a result that has been joined to your details and we will. An anonymous result cannot be traced back to you, which also means we have no way to find a particular one to delete.
Cookies and tracking
This site sets no cookies. It uses no local or session storage. There are no advertising pixels, no session recording, and no third-party scripts of any kind. The typefaces are served from our own domain rather than fetched from Google, so loading a page does not disclose your visit to a font provider.
Apart from the anonymous Coverage Check record described above, we do not run analytics. If we add analytics, we intend to use a privacy-preserving, cookie-free service and to record only anonymous, aggregate information. We will update this page before doing so.
Information collected automatically
Our host, Cloudflare, processes standard technical information in order to serve the site and protect it from abuse. That includes your IP address, browser type, and the pages requested. This is ordinary web-server logging, it is handled by Cloudflare under their own terms, and we do not use it to build a profile of you.
Who we share information with
We use a small number of services, and only these:
- Cloudflare hosts the website and delivers it.
- Slack receives notifications of contact-form messages, signups and conversation requests so we see them promptly. Completed checks are not sent there.
- Google Workspace holds our email.
- Airtable is our submissions database. It holds what the forms send us, and the anonymous record of each completed Coverage Check.
Each of these processes information on our behalf so that we can run the business. We do not sell your information, and we do not share it with anyone for their own advertising or marketing.
How long we keep it
We keep contact-form submissions and email for as long as we have an active or prospective relationship with you, and then for as long as we reasonably need them for our records. White-paper signups are kept until you unsubscribe or ask us to remove our records. you. Anonymous Coverage Check records are kept while they are useful for our records. understanding the check as a whole. You can ask us to delete your information our records. sooner and we will do it.
Your choices
Write to hello@execpods.com and we will tell you what we hold about you, correct it, or delete it. Depending on where you live you may have additional rights, including under the UK and EU General Data Protection Regulation or the California Consumer Privacy Act. We will honour those requests regardless of where you are, because the amount of information involved is small and there is no reason not to.
Children
This site is aimed at people running companies. It is not directed at children, and we do not knowingly collect information from anyone under 16.
Changes
If we change how we handle information, we will update this page and the date at the top. Material changes to what we collect will be described here rather than made quietly.
